Roster and Student Enrollment

(print a new roster from Web Advisor at the beginning of each class)

Step 4:  Click on "faculty" link
Step 5:  Click on "Class Roster" (under faculty information)

Please take the following steps to ensure that you have the correct number of students enrolled in class.

Day 1
Check and verify the names on the class roster. If a student is not on the roster but in your class, ask the student to show you the registration printout. If the student has no  printout, have that student see the registrar immediately after class.

Day 2
Check and verify the names on the class roster. If a student is not on the roster but in your class, ask the student to show you the registration printout. If the student has no  printout, have that student see the registrar immediately after class. Complete the following two steps. First, email a list of all "no show" students to the campus registrar. Second, email the campus registrar a list of students identified as "wait list" on the roster and indicate if they will be added or deleted from your class.

Day 3
Check and verify the class roster and student personal information. If there are changes to any student's personal information, make the changes on the roster and return it initialed to the registrar's office. If a student is not on the roster, that student in not enrolled in your course. This final printout should be your permanent roster.


Early Alert
The Early Alert Committee recommends early assessment of student learning to determine if the student is succeeding in the course. Several "best practices" have been identified which promote early detection of academic "at risk" behaviors.

The Committee makes the following recommendations:

  •      Provide 4 or more tests or some evidence of  
         proficiency, and intervene as soon as possible to
         make sure students understand information and material.
     
  •      Use "chunking" to present information and test for proficiency. Chunking means material is broken  down into smaller units of learning.
     
  •       Test or assess student learning frequently using
          formal tests, graded assignments or
          assignments  that identify student performance
          (quizzes, essays, demonstrations, etc.).
     
  •       Encourage study circles (faculty led and student initiated)
     
  •       Provide a significant portion of the student
          assessment before mid-term when possible
     
  •       Refer students for tutoring
     
  •       Look for potential tutors a the end of a semester and refer these students to Scarlet Laster in Dewitt, Addie Chandler in Helena, Sonya Allen in Stuttgart. A good student can earn money as a tutor.
     
  •       Mentor potential tutors.
     
  •       Look for behaviors which signify academic
          problems: absenteeism, habitual tardiness,
          failure to turn in assignments, poor quality of
          assignments, missing assignments, low quiz
          grades, low test grades, class disruptions,
          excessive talking in class.
     
  •  Meet with students to discuss options in the
     course, if "at risk" behaviors are observed. 
    Email or phone communication is also a good way to let the students know you are interested in their progress. You can leave messages asking them to return your call.

Referrals to the Student Success Coordinator or Student Support Services can be made anytime. It is likely that the earlier a referral is made the more likely it is that a student will succeed.

Directions:  Early Alert Committee believes that attendance is important to student success. The committee asks your help in making sure students understand the importance of attending class and with identifying students who are "at risk" because of attendance. Remember, the goal of Early Alert is to get students to attend class regularly.

 

1st Absence - Blue Card
Instructor will complete the blue card and give it to the student. In a friendly manner, discuss the importance of being in class emphasizing  the need to make-up any assignments or homework.

 

2nd Absence- Student Referral
The instructor will complete the Student Referral Form. An email/letter will be generated to the advisor and the student. Committee suggestion: it is important to have assignments and activities in class which require the student to check PCCUA email so they become familiar with it.

 

Students enrolled in Section 20 or 30 classes (evening and extended day or courses which meet once a week) should be considered "at risk" after the first absence. The instructor should complete the Student Referral Form identifying the student as "at risk" so the Student Success Coordinator can intervene before the second absence.

 

3rd Absence - "At Risk"
The instructor will complete a Student Referral Form which is sent to the advisor and the student. Immediately, the advisor refers the student to the Student Success Coordinator for that campus. Students at this level are considered "at risk" and need to be contacted more intrusively so that they return to class and remain in the class without further absences.

Absences beyond this point are handled by the policy indentified in the instructor's syllabus.

 

Student Referral Process

To Log in to WebAdvisor and process student referral:

1.    Instructors will be given a username and password upon hire. Returning instructors will use the
       username assigned during previous semester.

2.    This username and password will be used to log in to the college WebAdvisor.

3.     Open WebAdvisor main menu. The WebAdvisor's main menu will  allow students, staff, and the 
        community access to our databases. 

4.    To access your information, click "Log In" (as faculty or advisor).

5.     Enter your username and password in appropriate places.

6.     Click on "Contribute Retention Information"

7.     Follow on-line directions:

        Click -   Find Student
        Click -
  Enter Student's Datatel ID or name
        Click  - 
Contribute Retention Information
        Click  - 
Complete Required Fields
        Click  - 
Submit

To access the Intranet:

1.    Log into WebAdvisor (Datatel college system)

2.    Click on Employees

3.    Click on the Intranet Link - this will take you to the Intranet page (you will
        not have to log in again)
