STUDENTS FOR WHOM THIS COURSE IS INTENDED:  Students enrolled in the Division of Business as a requirement for an Associate in Applied Science Degree in Office Technology (Medical Option or Administrative Option).

 

PREREQUISITE:  General education requirements and specialized courses.  This course is taken during the students last semester. Fall, and Spring.

 

MISSION AND PURPOSE:  Bring the classroom and the real world of work together to benefit both students and employers.

 

COURSE DESCRIPTION:  In this course each student is assigned to an office or affiliated care facility to gain varied experiences in office skills and procedures.  Students will also complete an Internship Report.

 

GENERAL OBJECTIVE: Phillips Community College recognizes the value of its students of the work experience in an Internship basis in office techniques.  Therefore, this program is designed to give students the opportunity to make practical application of their course work in an office setting.

o       Measurement Instrument and Success Criteria:  An employer evaluation instrument will be used to evaluate the student each semester.  The goal is 80% of the students will demonstrate they can communicate effectively with supervisors, fellow workers, and the public by scoring “Excellent” or “Good” on the Communication Section of the Employer Evaluation.

·        Goal 2:  Students will acknowledge diverse groups of individuals possessing different beliefs, values, attitudes, and customs.

o       Intended Course Outcome #1:  Students will interact with area businesses that represent the diversity of the community.

o       Course Competency (Performance Measure):  Students will interact professionally with fellow employees, supervisors, and the patients in their Internship work site as evaluated by their Internship supervisor.

o       Measurement Instrument and Success Criteria:  An employer evaluation instrument will be used to evaluate the student each semester.  The goal is 80% of the students will demonstrate they can interact with area business employees and the public by scoring “Excellent” or “Good” on the Cultural Awareness Section of the Employer Evaluation.

 

·        Social and Civic Responsibility

·        Goal 3:  Students will demonstrate a legal/ethical behavior that is appropriate for the business professional in today’s society.

o       Intended Course Outcome #2:  Students will demonstrate good personal grooming habits, professional business etiquette, and acceptable behavioral skills each day on the Internship.

o       Course Competency (Performance Measure):  Students will demonstrate good personal grooming habits, professional business etiquette, and acceptable behavioral skills each day on their Internship work site as evaluated by their Internship supervisor.

o       Measurement Instrument and Success Criteria:  An employer evaluation instrument will be used to evaluate the student each semester.  The goal is 85% of the students will demonstrate they have developed professional grooming habits, etiquette and behavioral skills by scoring “Excellent” or “Good” on the Social and Civic Responsibility Section of the Employer Evaluation.

 

·        Social and Civic Responsibility

·        Goal 3:  Students will demonstrate a legal/ethical behavior that is appropriate for the business professional in today’s society.

o       Intended Course Outcome #3:  Students will demonstrate they understand and respect the major privacy laws and security issues in the medical field.

o       Course competency (Performance Measure):  Students will demonstrate they understand and respect the major privacy laws and security issues in the medical field as evaluated by their Internship supervisor.

o       Measurement Instrument and Success Criteria:  An employer evaluation instrument will be used to evaluate the student each semester.  The goal is 90% of the students will demonstrate they have developed an understanding and respect for the major privacy laws and security issues in the medical field by scoring “Excellent” or “Good” on the Honesty, Abides by any existing legal or ethical constraints and Obeys privacy or security rules sections in the Social and Civic Responsibility Section of the Employer Evaluation.

 

·        Social and Civic Responsibility

·        Goal 3:  Students will demonstrate a legal/ethical behavior that is appropriate for the business professional in today’s society.

o       Intended Course Outcome #4:  Students will cultivate professional values, work ethic and attitudes appropriate for the business professional.

o       Course Competency (Performance Measure):  Students will cultivate and demonstrate professional values, work ethic and attitudes appropriate for the business professional as evaluated by their Internship supervisor.

o       Measurement Instrument and Success Criteria:  An employer evaluation instrument will be used to evaluate the student each semester.  The goal is 70% of the students will demonstrate they have developed and demonstrated professional values, work ethic and attitudes appropriate for the business professional by scoring “Excellent” or “Good” on the Social and Civic Responsibility Section of the Employer Evaluation.

 

Campus Support Services:

Phillips Community College of the University of Arkansas provides student support services that assist students in achieving their educational objective.  Those services include advising, financial aid, counseling and guidance, and safety and security.

ADA Policy:

Lynn Boone, the Vice Chancellor for Student Services serves as the ADA Compliance Officer.  If you reside in Arkansas County you may contact Vice Chancellor Carolyn Turner (DeWitt) or Dr. Anne Gentry (Stuttgart).  The process of student referral under the Americans with Disabilities Act can be found in the Student Handbook.

 

FERPA Policy:

Phillips Community College of the University of Arkansas complies with the Family Educational rights and Privacy Act (FERPA) of 1974.  A student has the right to inspect and review all of his/her records that meet the definition of educational records.  No third party has the right to review student records.

JOB PLACEMENT:  The program supervisor (Mrs. Harper) will assign each student to a training station in an approved office and will assist with resolutions of any problems.  The program supervisor is the accepted authority for making adjustments or changes in the job training.  The student will be assigned to an on-the-job training supervisor and will be given the greatest possible variety of job training experiences suited to the student.  A student must have a cumulative 2.0 GPA to be placed on an Internship.

INSURANCE

      Phillips Community College of the University of Arkansas does not provide insurance for its
      students.  The college does encourage each student to secure his/her own insurance, and for
      that reason, the college has contacted United Healthcare Student Resources.  Forms for this
      insurance are available in the Registrar’s office.


ACTS

The Arkansas Course Transfer System (ACTS) contains information about the transferability
      of courses within Arkansas Public Colleges and universities. Students are guaranteed the
      transfer of applicable credits and the equitable treatment in the application of credits for the
      admission and degree requirements. Course transferability is not guaranteed for courses  
      listed  in ACTS as “No Comparable Course.” Additionally, courses with a “D” frequently do not
      transfer and institutional policies may vary. ACTS may be accessed on the Internet by going
      to  the ADHE Website and selecting Course Transfer.

COURSE OBJECTIVES/COURSE COMPETENCIES:

The following course objectives are presented to the student for use in acquiring adequate fundamental knowledge in the Internship Program:

1.         Provide the student with a comprehensive “hands-on” work experience.

2.         Aid the student in choosing a career track in Office Technology.

3.         Develop student's ability to work effectively in a group setting.

4.         Provide group support and interaction with area businesses for work experience students.

5.         Prepare the student for employment or further education in Office Technology.

6.         Study the function, organization structure, and daily operations of an agency.

7.         Demonstrate employment skills to enhance marketability for employment.

8.         Develop personal skills essential for success in an office position.

9.         Understand major privacy and security issues.

JOB EXPECTATIONS:  The student will adhere to company policy and can be terminated from the training program for the same reasons as any other employee.  Should an intern be discharged from a training site, it will be the decision of the program coordinator, upon consultation with the training supervisor, whether the student will be allowed to change training stations or lose course credit.  Conversely, any student who stops working at the training site will not receive course credit.

JOB PERFORMANCE:  It is up to the intern to get the most that they can from the internship.  Boredom, poor attitude, laziness, lack of self-discipline and many other negative feelings should have no place in this endeavor.  If problems do arise that the student cannot handle, they should contact the program supervisor, Mrs. Harper.


 

COURSE RESPONSIBILITIES: 

            A.        Attendance

                1. Students will be prompt and regular in attendance on the job.

                    A student, who misses two or more days, must make up the hours and show this change on the weekly journal. 

                2. All students must attend an Introductory Meeting and a Final Meeting of the Internship Class.  Failure to do so may result in the final grade being lowered.

B.         Evaluation

1.         The employer will complete a detailed evaluation form on each student at mid-term and another at the end of the semester.  The program supervisor will make the final decision on the students’ semester grade.

2.         Completed work hours.

3.         Assignment One:  Turn in a resume, typed in proper format, have all information accurate and current.

            Due Date:       Before beginning at work site.

4.         Assignment Two:  PaperThe paper is due November 27, 2007 for the Fall Internship.  This paper should be descriptive in nature and should examine in a very straightforward manner the agency the intern works for and the role of the intern in the organization.  Use of organization charts, job descriptions, or other agency material is encouraged, but the intern should be sure to explain fully the mission, organization, function, personnel, and atmosphere in the intern's agency.  This paper is not expected to be a research paper; it is expected to be a complete description of the environment in which the intern finds himself or herself. It should be approximately two pages in length and typewritten.

Listed below is an outline for your internship report.  The purpose of this report is to assist you in gathering information concerning the business.  It is also designed to help you think about how you fit into the business and what you are learning.

 

I.          DESCRIPTION OF THE BUSINESS OR EMPLOYMENT STATION:

 

1.         History of the firm.

2.         Organization of the firm.

A.        Size or volume of business. (roughly)

B.         Number of employees.

3.         Products sold or business services performed.

 

   II.         DESCRIPTION OF DUTIES:

 

1.         What are your duties and responsibilities?

A.        What type of jobs do you perform?

B.         How well have you been able to perform assigned tasks?

C.        What problems have you encountered in handling tasks or jobs assigned?

2.         What have you learned about the total business operation so far?

3.         Cooperation opportunity.

A.        With whom do you cooperate?

B.         Which of your duties require cooperation?

C.        What are your personal relationships with your fellow workers?

 

III.       SUPERVISION OF DUTIES:

 

1.         Standards of work required.

A.        Are standards of work high, too high, average, low?  Explain.

B.         How are you ranked on your job performance?

C.        Who recognizes merit?

 

 

Assignment Three:

 

Construct an organizational chart for your business.  You should include as many names with the corresponding position titles as possible.  Be sure you accurately indicate the chain of command and where your position is located by marking your name and title.  Include a complete job description of your position.

 

Assignment Four:

                        In consultation with your on-site supervisor, select a current situation (or problem) that you ) or a co-worker) have been faced with.  Analyze this case in the following manner: 

·        Why is there a case or problem in the first place:  What caused this case or problem to come into being?

·        What are the basic and underlying issues involved?

·        Develop an appropriate course of actions or actions.

·        Select one solution and be prepared to discuss the case and your recommendation at the final internship meeting.

*Attendance at the beginning program meeting, and attendance at the final meeting at the end of the semester is required unless special permission is given by the Program Supervisor, Mrs. Harper.

*Failure to attend the beginning program meeting, and the final meeting could result in the student's final grade being lowered.

1.         Grading:  The final grade for this course will be determined from the following:

•           Completion of work hours and a weekly journal log.  Fall and Spring internship students based on a 10-hour week, 12-week semester, giving a total of 120 hours of work.  Summer Internships based on a 24-hour week, 5-week summer term, giving a total of 120 hours of work.  This information will be obtained from the weekly journal log completed by the student each week and signed by the student and the supervisor.

•           Signing the Internship Student Agreement.

•           Completion of the Training Station Information Form.

•           Two performance evaluations completed by the training supervisor.

•           Student present at two meetings with program coordinator: one at beginning of semester before the internship begins, and one meeting at the end of the internship.  Both times are stated in the calendar.

•           Attendance in each of the labs at the beginning of the course.

•           Resume, Internship Paper, Organizational Chart, and Case Analysis..

*The Instructor has the right to make changes in the grade requirements and their weights in determining the final grade.

 

 

 

COURSE RESTRICTIONS:

The following criteria will be used during the designated internship period.

1.         Any student/intern who is terminated from employment for reasons other than a work slow down/layoff may receive an “F” in the internship.  Examples of conditions include absenteeism, improper conduct, inadequate performance, etc.

      2.         Any student/intern who decides to quit their employment (for reasons of their own) may receive an “F” in the course. 

3.         The student may not change training sites simply because a better opportunity may have arisen during this internship.  The job assignment agreed to by all concerned at the beginning of the semester must be adhered to throughout the course in order for the student to receive college credit.

4.         A student can be placed on an internship a maximum of two times.  After that time, they will loose the credit and will not graduate.

 

 

 

 

GUIDELINES AND OBJECTIVES 

1.      The supervisor and/or employer will accept and assign students to jobs without discrimination on the basis of race, color, national origin, sex, or handicap.

2.        The student will be assigned to an on-the-job training supervisor and will be given the greatest possible variety of job training experiences.

3.       The student will be prompt and regular in attendance on the job.  A student, who misses two or more work days, must make up the hours.  The student will record how the hours are made up and this must be signed by their supervisor and returned to the program supervisor. When a student must miss work, notify the program supervisor, Mrs. Harper (870-338-6474, ext. 1128) that morning and must also notify their training site supervisor.

4.      The program supervisor will assist with resolution of any on-the-job problems of the student.

5.      The student will adhere to the company policy and may be terminated from the training program for the same reasons as other employees.

6.      The students will adhere to the Phillips College calendar and will not be required to work during spring vacation or any other college holidays.

7.      The employer will complete a detailed evaluation form on the student at the nine week and semester grading period.  The program coordinator will make the final decision on the student’s semester grade.

8.      The employer will consult the program coordinator about any difficulties arising with the student at the training station.

9.      If a student is discharged from a training station due to lack of interest or poor job performance, it will be the decision of the program coordinator after talking with the employer, if the student will be allowed to change training stations or loose the semester credit.

In participating in the Internship Program I agree to abide by all college policies.  I also agree to the following conditions:

The Training Station is recognized as an extension of the regular college curriculum.  Therefore, the coordinating teacher is the accepted authority for making adjustments and changes in the job training.

I will take advantage of all training materials available at my training station and will attend any in-service that is provided by the employer for his employees.

I will accept counseling and guidance from the coordinating teacher concerning my work, and any problems I encounter will be discussed with her as soon as possible.

It is possible that I may be dismissed from my job by my employer.  My dismissal will be considered a serious matter and will be dealt with as such.

I will be regular in attendance and will be on time on the job.  I will notify my employer and the coordinator not later than 10 a.m. on any day that it is impossible for me to report on my job. 

Acceptable excuses for missing work are:  Personal illness and death in the immediate family.

I will work to the best of my ability in my studies and on the job, and I will carry out my training on the job in such a manner as to reflect credit upon myself, the program, and Phillips  Community College.

I understand that all information and records are CONFIDENTIAL and I will hold them in strictest confidence outside work.

I will be honest with the employer's time, money, and  records or I will be dropped from the Internship program with loss of credit for the semester.

RULE OF PERSONAL LIABILITY

Phillips Community College of the University of Arkansas, being a state institution, assumes no legal responsibility for the internship student.  It is recommended that the students obtain liability insurance from their Homeowners Policy, Renters Policy, or take out a Professional Liability Policy

All individuals are held responsible for their own conduct.  This means that an office employee can be held personally liable or jointly liable for medical malpractice.  You, and other individuals, who work with medications or with patients, are especially vulnerable to malpractice claims because you can be charged with practicing medicine without a license or discussing confidential information.  Never leave the impression that you are recommending a treatment or a medication; a patient may interpret the comments of a medical office employee incorrectly and later charge the employee with practicing medicine illegally.  Never discuss any patient information with anyone outside the office.

In today's society, the illegal use of drugs and the illegal prescription of drugs are concerns for office personnel.  If you are knowingly involved in the illegal use or prescription of drugs, you can be held criminally responsible.
